The problem

Wholesale breaks where orders, stock and money live apart

Distributors rarely lose money on a single sale. They lose it in the gaps between the sales desk, the warehouse and the accounts team.

  1. Every customer has a different price

Rates live in someone’s memory or a spreadsheet, and the wrong one reaches the invoice.

  2. Orders promised from stock already sold

The sales desk cannot see what the warehouse really holds, so deliveries slip and customers wait.

  3. Money sitting with customers

Without outstanding balances and their age in front of you, credit grows until it becomes a cash problem.

  4. The same order typed three times

Quote, delivery and invoice are re-entered by different people, and the books are always behind.

How it works

From the first quote to the money in the bank

Each document is created from the one before it. Nothing is typed twice, and stock, balances and the ledger move at the step where they really change.

Selling

  1. Quotation

Quote at the customer’s price level, with available stock in view.

    • No posting yet
  2. Sales order

Confirm what the customer wants and keep pending deliveries visible.

    • Order book
  3. Delivery note

Goods leave the warehouse they are picked from.

    • Stock
  4. Sales invoice

Bill once. Tax is calculated and the sale posts to the books.

    • Customer balance
    • Ledger
    • Tax
  5. Receipt

Record payment against the invoice, in full or in part.

    • Customer balance
    • Cash and bank

Buying

  1. Purchase order

Order from suppliers at agreed rates and due dates.

    • Pending purchases
  2. Goods receipt

Receive into a warehouse, with batch and expiry where you track them.

    • Stock
  3. Purchase bill

Upload the supplier’s bill and the AI agent reads and matches it; it posts to accounts, with freight booked to its ledger.

    • Ledger
    • Tax
  4. Payment

Pay suppliers in full or in part from cash or bank.

The difference

What changes when it is all one system

Many distributors run on an order book, a stock file and an accounting package. This is what moves when those become one record.

FAQ

Common questions

Short, factual answers before you start.

Can each customer have their own prices?

Yes. Give a customer a price level and their rates apply automatically on quotations, sales orders and invoices. Customers without one get your standard price.

Can I see stock across warehouses before confirming an order?

Yes. Available stock is shown per warehouse, so the sales desk commits only what the warehouse can deliver. Transfers move stock between warehouses and branches.

Can I control customer credit?

Yes. Each customer carries a credit limit, outstanding balance and available credit, and the receivables ageing report shows how much is 0–30, 31–60, 61–90 and over 90 days old.

Do sales and purchases post to accounting automatically?

Yes. Invoices, supplier bills, receipts and payments post to the ledger as they are made, with tax calculated, so customer and supplier balances are always current.

Does PeppyBooks work outside one country?

Yes. Each company is set up with its own currency and tax system, whether VAT, GST or sales tax, and you can trade in foreign currencies with exchange gain and loss on the Business plan and above.

Can you move my existing products, customers and stock?

Yes. Products and opening stock import from Excel, and for eligible customers our team helps bring across products, customers and opening data.
